2. Information we collect

When you connect the App to your QuickBooks company, we access and process the following categories of information through the QuickBooks APIs:

• QuickBooks company profile information (company name, ID, currency and country) needed to link your account.
• Customer records (names, contact details, billing addresses) that you choose to sync or view through the App.
• Transaction and product data (invoices, estimates, items, prices) that you choose to sync or view through the App.
• Connection and usage data, such as the date you connected, tokens and technical logs required to keep the connection working.
• Contact details you give us directly (for example your name, email address and phone number) when you register, request support or contact us.

3. How we use your information

We do not sell your personal information, and we do not use your QuickBooks data for advertising.

• To connect the App to your QuickBooks company and keep that connection active.
• To provide the features of the App, such as syncing or displaying customer, product and transaction information.
• To authenticate you and manage your access tokens securely.
• To provide customer support and respond to your enquiries.
• To detect, prevent and address technical issues, fraud or unauthorised access.
• To comply with legal and regulatory obligations.

4. Legal basis and consent

We process personal information under your consent (given when you connect the App to QuickBooks), to perform our obligations to you, and where necessary to comply with our legal obligations, as permitted by POPIA.

5. Sharing of information

We share information only in these limited circumstances:

• With Intuit (QuickBooks): as needed to provide the integration you authorised. Your use of QuickBooks is also governed by Intuit’s own privacy policy and terms of service.
• With our manufacturing and distribution partner, Kansai Plascon, strictly as needed to fulfil orders or support you, and under confidentiality obligations.
• With service providers who host or support our systems, under written agreements that require them to protect the information and use it only for our purposes.
• Where required by law, regulation, court order or lawful request by a public authority.
• In connection with a merger, acquisition or sale of assets, in which case we will notify you before your information is transferred.

6. Data retention

We keep your information only as long as needed to provide the App, comply with legal obligations, resolve disputes and enforce our agreements. When you disconnect the App or ask us to delete your data, we delete or de-identify your QuickBooks data and connection tokens within a reasonable period, unless we are legally required to keep it.

7. Data security

• Access tokens and credentials are stored securely and transmitted over encrypted connections (HTTPS/TLS).
• Access to stored data is limited to personnel and systems that need it to operate and support the App.
• If a data breach affects your personal information, we will notify you and the Information Regulator as required by POPIA.

8. International transfers

Our systems and service providers may be located outside South Africa. Where information is transferred across borders, we take steps to ensure it receives a level of protection comparable to POPIA, including contractual safeguards.

9. Your rights under POPIA

You have the right to:

• Ask what personal information we hold about you and request a copy.
• Request correction or deletion of your personal information.
• Object to the processing of your personal information.
• Withdraw your consent at any time by disconnecting the App in QuickBooks and/or contacting us.
• Lodge a complaint with the Information Regulator of South Africa.

10. Cookies and analytics

If the App is accessed through a website, we may use cookies and similar technologies to keep you signed in and understand how the App is used. You can control cookies through your browser settings.

11. Children

The App is not intended for individuals under the age of 18, and we do not knowingly collect their personal information.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the App or by email before the changes take effect. The date at the top shows when it was last updated.
